Import contacts and save an audience

Map a spreadsheet to contact fields, review the import, and save reusable filters.

Jump to a section

Prepare a CSV or XLSX file with clear column headings. Keep one contact per row. Store phone numbers as text with a country code so a spreadsheet does not remove digits or change their format.

Import your file

  1. Open CRM and the More menu, then choose the import action.
  2. Upload the file. Fix any file error before continuing.
  3. Map each source column to the correct Botat field. Map the name, and the phone field if you intend to message the contact. Ignore columns you do not need.
  4. Review the preview and any missing-name or invalid-phone warnings.
  5. Confirm the import. Read the imported, merged, and failed counts before uploading again.

Check the imported records

Search for a few contacts and compare their details with the original file. If rows failed, correct those rows first. Repeating an entire import without checking its result makes it harder to understand what changed.

Do not use an import to assume marketing consent. Keep the contact’s opt-in information consistent with the permission you actually received.

Save an audience

Apply the filters you need in CRM, inspect the matching contacts, and use Save current filters to create a named segment. Choose a useful name such as “Customers interested in workshops”.

A segment stores filter rules, so its matches can change as contact data changes. Check the audience again inside the campaign wizard before sending.
